Project managers turn to VPO’s Archive feature when a project is getting close to completion.

VPO’s Archive tool allows project managers to feel comfortable knowing that all the submittals, reports, and documents are backed up and ready to be delivered. VPO Archive captures, preserves, and delivers project documentation including (but not limited to):

  • Action items
  • Daily reports
  • RFIs
  • Submittals
  • Non-conformance notices
  • Change orders
  • Invoices
  • Issues
  • Purchase orders
  • Payment applications
  • Punch lists
  • Extra work orders
  • Custom modules not listed above

For example, when a user creates a submittal on a project, VPO’s Archive in turn creates a copy in your Archive library with a formatted cover sheet, complete version history and all attachments (even the ones that were deleted during the project). Like all VPO modules and tools, VPO Archive is can be configured to meet your company's needs.

Also, any modifications are recorded in the VPO Archive files.

Project teams can tailor the Archive to include any list or module relevant to their workflow. This flexibility means that the Archive can adapt to the unique documentation requirements of any project, large or small.

VPO Archive maintains data integrity by creating a parallel, organized repository without altering or removing original data in VPO. Access to VPO Archive is typically restricted to VPO Power Users, ensuring that sensitive project information remains secure and is only available to authorized personnel.

When it’s time for a project to wind down, all a VPO Power User needs to do is click on the project name, click the link that says “Archive” on the left-hand side of the screen, select a folder, and download all the files from a folder into a .zip file. This not only saves time but also ensures that nothing is overlooked. There’s no need for manual intervention or to wait until the project closes out; meaning VPO users can focus on managing their project while VPO Archive does the work for you. Users can access VPO Archive at any time, confident that their records are always up to date.

Both owners and construction managers stand to benefit from the Archive. Owners receive a well-organized, comprehensive package at project completion, while construction managers can easily fulfill documentation requirements and maintain compliance.
